This Privacy Policy explains what personal data V1 Logbooks ("we", "us", "the App") collects, why we collect it, how it is used and protected, and the rights you have over it. V1 Logbooks is a personal flight logbook application built for pilots operating under the regulatory framework of the Directorate General of Civil Aviation (DGCA), India, and is used to record flight time, credentials, and — optionally — to prepare and submit entries to DGCA's official eGCA portal on your behalf, using your own DGCA login.
When you register, we collect:
The core purpose of the App is to record your flights. This includes aircraft registration and type, departure/arrival aerodromes, dates and times, block/flight time, the role you flew in, and any purposes, exercises, or remarks you attach to a flight.
Licence details, ratings, medical certificate data, and recurrent training records you choose to log, so the App can track their validity and expiry on your behalf.
If you use the AI-assisted logbook scanner to import historical entries, photos of your logbook pages are processed to extract flight data (see Section 5 for how this is handled).
The App stores your data locally on your device in an encrypted SQLite database (SQLCipher, with the encryption key held in your device's secure hardware-backed keystore where available). This local copy is synchronized with our servers so your logbook is available if you reinstall the App or use it on another device.
DGCA flight-time regulations require you to record who else was on board or supervising a flight — co-pilots, instructors, examiners, and the verifier who attests your entries. When you add these people to your logbook, we store their name, licence number where you provide it, and their eGCA ID where known. You are responsible for having a lawful basis to record another person's details — typically because you flew with them and DGCA record-keeping rules require it. We do not use this data for any purpose other than completing your logbook and, where you choose to submit a flight to eGCA, DGCA submission.
To make it faster to add crew you fly with to a flight entry, the App maintains a searchable directory of pilot names and eGCA IDs sourced from DGCA's own eGCA system. This directory may include names of individuals who are not registered users of V1 Logbooks. Only name, eGCA ID, and licence number (where available) are held — no contact details, flight history, or other personal data about non-users is collected or stored.
If you are a licensed pilot and would like your name removed from this directory, or have questions about this data, contact us using the details in Section 13.
We do not sell your personal data, and we do not use it for advertising or profiling.

We do not use third-party advertising networks, analytics trackers, or crash-reporting services that collect your personal data.
V1 Logbooks is an independent application and is not developed, endorsed, or operated by DGCA. When you choose to upload a flight to eGCA, the App opens DGCA's own official web portal inside the App and submits the form on your behalf using your DGCA login, exactly as if you had typed it into DGCA's website yourself. Your eGCA password is used only for that single login session — it is never saved to your device or sent to our servers, and is discarded from memory as soon as the session ends. Data you submit to DGCA through this feature becomes subject to DGCA's own data handling as the government record-holder.
No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable, industry-standard measures to protect your data.
Subject to applicable law (including India's Digital Personal Data Protection Act, 2023), you have the right to:
V1 Logbooks is intended for licensed and student pilots. You must be at least 16 years old to create an account. We do not knowingly collect data from anyone under 16; if you believe a minor has registered an account, please contact us so we can remove it.
Some of our service providers (including Google, for AI-assisted logbook scanning, and our hosting/email providers) may process data outside India. Where this occurs, we rely on those providers' own contractual and technical safeguards for cross-border data transfer.
We may update this Privacy Policy from time to time. If we make material changes, we will notify you in the App or by email before the change takes effect. The "Last updated" date at the top of this page always reflects the current version.
